I am greatly honored to have the opportunity of serving this organization in the capacity of a union representative. This is a duty that I have sworn to deliver to my level best. I understand that my role is regulated by the rules and regulations of this organization. I am therefore requesting relevant documents, policies, and procedures that are concerned with my role as the union representative and the organization in general. I am explicitly asking for those documents, policies, and procedures that indicate the organization’s commitment to equality and creation of a harmonious working environment that is free of vices such as corruption, racisms, discrimination, and sexual harassment. Access to these documents, policies, and procedures will ensure that I act decisively and in a competent manner as the union representative for the wellbeing of the organization, the employees and all the other stakeholders.

I understand that all the necessities of the company cannot be included in the documents that I have requested. Furthermore, some of them might take time to process or access. I, therefore, request for a meeting between us and any other party that might seem necessary to discuss how I can progress with my role as the union representative in the absence of these documents. This meeting will also be an opportunity to clarify some of the points that might be unclear in the documents and also establish the way forward for issues that usually spark controversy in this organization.
